Job Summary
The Advancement Special Events & Communications Coordinator plays a pivotal role in overseeing the planning and execution of special events, developing and executing comprehensive communication strategies, and cultivating donor relationships that align with the school’s mission and fundraising goals.

Responsibilities

Special Events
● Lead the planning, coordination, and execution of Advancement’s major fundraising events, including DBP Gala, Beefsteak/Auction, “Pull” For Bosco Shooting Event, and Ironmen Golf Outing.
● Manage fundraising event logistics, including budgeting, vendor selection, venue coordination, guest lists, and program development, to ensure seamless and memorable experiences for attendees.
● Utilize data and analytics to measure event outcomes, making data-driven recommendations for continuous improvement.
● Identify creative/innovative ways to positively evolve events in order to maximize revenue and experiences for
all attendees.
● With the assistance of the AVP of Advancement Operations, oversee the event management software, GiveSmart, along with Raiser’s Edge NXT to organize event attendee and sponsor information and donations.
● Work alongside the Director of Alumni Engagement in the implementation of alumni reunions, donor recognition events, regional alumni gatherings and other engagement/fundraising opportunities.
● Collaborate closely with the Advancement team to identify and implement opportunities to cultivate relationships with potential donors, alumni, and supporters to enhance the school’s fundraising efforts.
● Supervise and manage event staffing, including volunteers, fostering a collaborative and productive work environment.
● Work key community donors to secure contributions to fund annual senior scholarships and work with the academic administration to confirm recipients and specific award details.

Advancement Communications
● Develop and implement a strategic communication plan that effectively conveys Don Bosco Prep’s mission, achievements, and impact to various stakeholders, chiefly alumni, parents, and other donors.
● Create compelling content for various communication channels, including newsletters, social media, website, press releases, and other promotional materials, ensuring consistent messaging and brand identity.
● Design and develop content to produce and publish the bi-annual alumni magazine.
● Collaborate with Advancement team members to develop effective marketing and communications plans for all Advancement events.
● Oversee the sensitive and timely dissemination of community-relevant alumni news, including announcements pertaining to significant events such as passings, ensuring respectful communication within the alumni community.
● Utilize data and analytics to measure the effectiveness of communication strategies, making data-driven recommendations for continuous improvement.
● Work closely with school leadership and other departments to ensure alignment
of communication efforts with institutional goals and initiatives.
● Serve as Advancement Communications liaison to the President and other school
administration/departments.

Qualifications, Experience and Skills
● Bachelor’s degree in Communications, Business Management, Marketing, or related field.
● 3-5 years of experience in event planning, communications, or fundraising, preferably in a nonprofit or educational setting.
● Proven track record in managing major events, including logistics, vendor coordination, and donor relations.
● Strong communication and writing skills, with experience writing for newsletters, social media, websites, and promotional materials.
● Experience with event management and donor databases, such as GiveSmart and Raiser’s Edge NXT.
● Strong project management and organizational skills, with the ability to prioritize and meet deadlines.
● Ability to work collaboratively with cross-functional teams, volunteers, and school leadership while maintaining a high level of professionalism.
